1. Who we are

Sharpd is a software-as-a-service booking and business management platform for barbershops. Sharpd is a product operated by Al Rifai Trading FZ-LLC, a company registered in the United Arab Emirates ("we", "us", "our").

This Privacy Policy explains what personal information we collect through the Sharpd website and platform, how we use it, who we share it with, and the choices available to you. It applies to sharpd.org and the Sharpd platform.

2. Our role in handling data

Our role depends on whose data is involved:

  • Barbershop accounts (our customers). We act as the controller of the account and billing information of the businesses and individuals who register for Sharpd.
  • Appointment clients (our customers' clients). When a barbershop uses Sharpd to manage bookings and client records, the barbershop is the controller of that information and we act as a processor on its behalf, handling the data only as needed to provide the platform.

If you booked an appointment with a barbershop and want your information changed or deleted, please contact that barbershop directly. We will assist them in responding to your request.

3. Information we collect

Information you provide

  • Account details — name, business name, email address, phone number, and login credentials.
  • Business configuration — services, prices, staff members, chairs, working hours and locations.
  • Booking information — appointment times, selected services, assigned barber, and notes entered by the shop.
  • Client records entered by a barbershop — client name, contact details, visit history and preferences.
  • Communications — messages and enquiries you send to us, including by email.

Information collected automatically

  • Usage data — pages viewed, features used, and actions taken in the platform.
  • Device and log data — IP address, browser type, device type, operating system, and timestamps.
  • Cookies and similar technologies — as described in section 6.

Payment information

Where subscriptions are paid online, payment card details are collected and processed by our third-party payment provider. We do not store full payment card numbers on our systems.

4. How we use information

We use personal information to:

  • create and administer accounts and provide the Sharpd platform;
  • process appointments and send booking confirmations and reminders;
  • take payment for subscriptions and maintain billing records;
  • provide customer support and respond to enquiries;
  • maintain the security, integrity and availability of the platform, and prevent abuse or fraud;
  • understand how the platform is used so we can improve features and performance;
  • send service-related notices, and — where permitted — occasional product updates, which you can opt out of;
  • comply with legal, tax and regulatory obligations.

We do not sell personal information.

5. Legal bases

Where required by applicable data protection law, we rely on the following legal bases:

  • Performance of a contract — to provide the Service you have signed up for.
  • Legitimate interests — to secure, support and improve the Service, where this does not override your rights.
  • Consent — for optional cookies and certain marketing communications, which you may withdraw at any time.
  • Legal obligation — where we must retain or disclose information by law.

6. Cookies and analytics

We use cookies and similar technologies that are necessary for the platform to work — for example to keep you signed in and to remember basic preferences. We may also use analytics tools to understand aggregate usage and improve the product.

You can control or delete cookies through your browser settings. Blocking essential cookies may prevent parts of the platform from functioning.

7. Sharing and disclosure

We share personal information only as follows:

  • Service providers — hosting, database, email/SMS delivery, analytics and payment providers who process data on our behalf under contract.
  • The relevant barbershop — booking information is shared with the shop the appointment is made with.
  • Professional advisers — such as accountants or legal advisers, where necessary.
  • Legal and regulatory — where we are required to disclose information by law, court order or a competent authority, or to protect our rights, users or the public.
  • Business transfers — if all or part of our business is reorganised, merged or sold, information may transfer as part of that transaction, subject to this policy.

8. International transfers

We are based in the United Arab Emirates and our service providers may process data in other countries. Where personal information is transferred outside its country of origin, we take reasonable steps to ensure an appropriate level of protection, such as using reputable providers and contractual safeguards.

9. Data retention

We keep personal information only for as long as necessary for the purposes described in this policy, including to provide the Service, resolve disputes, and meet legal, accounting or tax requirements.

  • Account and booking data is retained while the account remains active.
  • After an account is closed, data is deleted or anonymised following a reasonable retention period, unless we must keep it by law.
  • Billing and tax records are retained for the period required by applicable law.

10. Security

We use technical and organisational measures appropriate to the risk, including encryption of data in transit, access controls, and restricting staff access to personal data on a need-to-know basis. No system can be guaranteed completely secure, so we cannot promise absolute security. If a breach affects your personal data, we will notify you and any relevant authority where required by law.

11. Your rights

Subject to applicable law, you may have the right to request access to, correction of, or deletion of your personal data; to object to or restrict certain processing; to withdraw consent; and to request a copy of your data in a portable format.

To exercise these rights, email info@alrifai-trading.com. We may need to verify your identity before acting on a request, and we will respond within the period required by applicable law.

If your data was entered into Sharpd by a barbershop, we will refer your request to that barbershop as the controller and support them in responding.

12. Children's privacy

The Sharpd platform is intended for use by businesses and is not directed to children. We do not knowingly collect personal information directly from children. Where a barbershop records an appointment for a minor, it is responsible for obtaining any consent required by law.

13. Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date above shows when it was last revised. Where changes are material, we will provide reasonable notice through the platform or by email.
